Study 02 · Documentation demonstration · C

From informal notes
to controlled work.

A fictional support team relies on a vague email telling people to 'sort the requests'. See why a policy, an SOP and a usable form are different documents, then inspect the distinct outputs. This example is independent of the file-clean-up lab.

INFORMAL STARTING POINT

INTERNAL NOTE · NOT A POLICY

“Can someone sort the new requests?”

Put anything urgent at the top and send it to the person who knows about it. Leave a note if it is complicated. Use the latest form.

  • Who is responsible?
  • What makes something urgent?
  • Which form is approved?
  • How is completion evidenced?

CONTROLLED DRAFT · FICTIONAL

ATLAS SUPPORT / S-001 / v0.3

Request-handling procedure

  1. Record the minimum necessary request information.
  2. Classify using defined criteria.
  3. Assign and acknowledge an accountable owner.
  4. Track decisions and outstanding questions.
  5. Verify the outcome before closure.

STOP: unexpected private information, unknown owner or missing authority requires referral.

Policy

States requirements, purpose, responsibilities and limits. It does not provide every operational click or decision step.

Assessment

What makes documentation useful?

The end test is not how many policies exist, but whether a new colleague can identify the correct instructions, understand ownership, follow the process, identify an exception and leave a traceable record. The specimens are all invented and explicitly unapproved.
